Contract
The Contract for a short-term holiday rental shall be made between the Client and The Suffolk Escape Ltd. The contract shall be governed by UK Law. It will be entered into when the deposit is processed and The Suffolk Escape Ltd issues the confirmation letter. By making a reservation you are deemed to have accepted our terms and conditions. The Contract will be subject to the following booking conditions.
Booking
The Client making the booking agrees that they are authorised to make this booking on behalf of all persons who shall be renting the property and agrees to take full responsibility for the property and the payment of any rental fees or damages. All persons must be over 18 years, with the exception of infants.
Booking Deposit
A deposit of 25% of the rental fee is payable if the booking is made more than 8 weeks before the commencement of the rental. The balance must be paid in full eight weeks before the commencement of the rental and will be taken from the card details provided and held by Sage Pay. Please be aware the full balance is due 12 weeks before on all Christmas and New Year weekly bookings. Non-payment of the balance of the rental on or before the due date shall be construed as a cancellation of the contract by the Client and any deposit payments made not refunded. For bookings made less than eight weeks before the commencement of the rental, the total rental fee is payable at the time of booking.
Security Deposit
Log Cabin – A £100 security deposit is added to the booking cost and is fully refundable except for any costs due to breakage, damage, extra cleaning, you have inadvertently returned home with the access key or charges levied by the Management for damage to their property or facilities and/or costs arising from noise or disturbance to other guests and owners. It will be taken from the card details provided on booking and held by Sage Pay. It will be returned to you within two weeks of your departure. Please be aware that for Christmas and New Year booking this is security deposit is extended to £200.
Sheepyard Barn – A £400 security deposit is added to the booking cost and is fully refundable except for any costs due to breakage, damage, extra cleaning, you have inadvertently returned home with the access key or charges levied by the Management for damage to their property or facilities and/or costs arising from noise or disturbance to other guests and owners. It will be taken from the card details provided on booking and held by Sage Pay. It will be returned to you within two weeks of your departure. Please be aware that for Christmas and New Year booking this is security deposit is extended to £800.
Payment
Our prices are inclusive and quoted in Pounds GB inclusive of VAT at the prevailing rate. Payments can be made by online bank transfer, cheque, credit card or debit card. All cheques must be made payable to The Suffolk Escape Ltd and can only be accepted if received not less than two weeks before the commencement of the rental.
Cancellations
Any cancellation made by the Client for whatever reason must be in writing. Once the booking has been confirmed the deposit becomes non-refundable. For cancellations made 6-8 week prior to the arrival date, 50% of the total rental fee will be payable, for cancellations made 4-6 weeks prior to the arrival date, 70% of the total rental fee will be payable, for cancellations made less than 4 weeks prior to the arrival date 100% of the total rental fee will be payable. The Suffolk Escape Ltd strongly recommends that the Client takes out insurance against cancellation.
Period of Hire
The prices quoted are per lodge/barn, per week or short break on a self-catering basis. Weekly rates apply from Friday at 4.00pm to the following Friday at 09.30am or Monday at 4.00pm to the following Monday at 09.30am. Short breaks are for 4 days midweek starting on Monday at 4.00pm to the following Friday at 09.30am or weekend starting on Friday at 4.00pm to the following Monday at 09.30am. Periods of longer than a week can be booked if arriving and departing on a Monday or Friday.
Advertised Facilities
Not all items, equipment and facilities advertised may be available at all times due to breakdown, malfunction, or other reasons. The management of The Suffolk Escape Ltd will try to rectify any malfunctions as soon as possible but no refund of any or all of the money paid by the customer will be made.
Occupation of the Lodges and Barn
The number of persons occupying the property must not exceed the maximum number of four adults for the log cabins and 12 for the Sheepyard Barn; see also section headed “Children.” The Suffolk Escape Ltd reserve the right to refuse entry to the entire party if this condition is not observed. The accommodation must not be sub-let. Regrettably we are unable to accept all male groups in our Sheepyard Barn.
Services
Rental charges include bed linen, towels and bathrobes for use during your stay. Beds will be made up prior to your arrival and, for bookings of more than one week, linen and towels will be changed at the end of each week. Electricity, gas and water are included within the rental charge.
Care of the Property
The Client shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as was found at the beginning. Apart from if provided by The Suffolk Escape Ltd in the lounge area; no candles are to be used in the lodges, decking, patio or in and around the hot tubs. No furniture, bedding, plates or cutlery are to be moved from or between lodges.
Fixtures & Fittings
All fixtures, fittings and equipment must be used solely for their intended purpose. The Suffolk Escape Ltd request that you do not take into the lodges or barn any portable heaters, lighting equipment or any items that may cause danger to the properties, its equipment or its occupants. Any bulky items such as bicycles, fishing or golf equipment are not to be taken into the lodges; for the barn outside storage is provided.
Breakages, Damage or Missing Items
The Client is legally bound to The Suffolk Escape Ltd for breakages, damage, missing items or excessive cleaning caused by the party during the period of the rental.
Complaints
The Suffolk Escape Ltd endeavour to ensure that everything is to your satisfaction during your stay. Should there be any cause for complaint during the occupation of the property, it must be notified promptly to the management and in the case of a serious problem confirmed in writing.
Smoking
Following Government legislation, The Suffolk Escape Ltd operates a no smoking policy within the lodges or the barn.
BBQ
Charcoal BBQ’s will be available free of charge from April 1st to October 1st. Please note we do not provide fuel and would request that the BBQ is left as it is found or additional cleaning fees will be charged.
WiFi
The WiFi internet connection is provided free of charge. If it fails, we will do everything possible to get it reconnected but we do not guarantee availability. Please use the internet responsibly and ensure that illegal material is not viewed or downloaded using our WiFi connection. Due to our very rural location we only have a limited internet connection that is suitable for checking emails and surfing the web. The internet speed may not be as fast as you are used to. Due to our remote location and limited data supply of the system we use, our WiFi service is for general surfing and checking email/social media only and strictly NOT for any streaming, prolonged You Tube watching or up/downloading. Abuse of this will require charges back to guests. Please be aware that we are charged over £20/gb for extra usage above daily allowance so these additional fees can mount up for guests. There is plenty of WiFi capacity for general use as detailed above. It is the responsibility of the person placing the booking to ensure all of their guests are aware of the above.
Children
The Suffolk Escape Ltd log cabins site is designated as an adult only site. Infants are accepted; please make contact in advance to confirm details. The barn welcomes children.
Visitors
Only those persons notified to are entitled to occupy the accommodation allocated. If you receive visitors during your stay who are not resident The Suffolk Escape Ltd you must inform the management. You will be held responsible for the behaviour of your visitors while they are on the site.
Pets
The Suffolk Escape Ltd operates a no pets policy at the Log Cabins and the Sheepyard Barn, with the exception of Assistance Dogs. Please make contact in advance of booking to confirm details.
Late Arrivals
We ask that you inform us of your planned arrival time. You must inform The Suffolk Escape Ltd if your arrival time changes substantially. If you are liable to arrive after 9.00pm you must make arrangements in advance with the management for access to your lodge or the barn.
Parking
Parking of vehicles must be in the designated car parking space and must not obstruct the roadway. Your vehicles, their accessories and contents are left entirely at your risk. The Suffolk Escape Ltd will not be responsible for any loss or damage from or to any vehicle. Repairs to vehicles (except emergency repairs) must not be carried out.
Liability
The Suffolk Escape Ltd cannot accept liability for any damage; expense, injury, death or loss of any nature whatsoever suffered by any person(s) from any cause other than the proven negligence of us or our employees. Hot tubs, swimming pool (barn guest’s only) are provided, but are unsupervised and are therefore used entirely at your own risk. You must take all necessary steps to safeguard your personal property and no liability to you is accepted in respect of damage to or loss of such property.
Force Majeure
The Suffolk Escape Ltd cannot accept responsibility or pay compensation where the performance of our contract with you is prevented or affected by reason of circumstances which amount to force majeure. These circumstances include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage (including a period of electricity failure), break-in, criminal damage, riots or civil strife, natural or nuclear disaster, war or threat of war, actual or threatened terrorist activity and all similar situations beyond our control.
Right of Entry
We will not normally enter a lodge once let without your agreement however employees of The Suffolk Escape Ltd shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance. The Suffolk Escape Ltd staff will have regular access to the Sheepyard Barn during guest’s stay to manage the biomass boiler and the swimming pool.
Lost Property
A minimum charge of £10 is made for the return of lost property after your departure. Items of lost property can only be held for a maximum of one month after which time they are donated to charity. We cannot be held responsible for items reported lost which cannot be found. Property is at all times the responsibility of the owner.
Privacy
Protecting your privacy is important to us and we will strive to keep your personal information confidential. Your details will be kept on our database to enable us to keep you up to date with any future offers, information or mailings. We do not give any information to third parties or use information gathered in any other way than those described above. If required by law or legal process to disclose your personal information we will do only in accordance with the law.
Terms and Conditions
The Suffolk Escape Ltd reserves the right to change or amend these terms and conditions at any time.
Please Note: We reserve the right to terminate the agreement / booking without refund of money if the behaviour of any guest is considered unacceptable, or if the number of occupants exceeds that stated at the time of booking.
Our booking fee DOES NOT include holiday insurance. We therefore recommend that you take out Holiday Cancellation Insurance to cover you in the event that you have to cancel or terminate your holiday unexpectedly.
